SUMMARY:
The Accountant plays a vital role in the accounting team, supporting the company’s expense management system, internal reporting, and overall accounting operations. This position contributes to general accounting, ensures compliance with federal and state regulations, and collaborates with both internal and external partners. Working closely with the Assistant Controller, the accountant engages with all departments in the organization, including sales and logistics managers. Responsibilities include managing accounting functions for multiple vineyards, winery operations, and tasting room transactions, requiring strong multitasking abilities. The ideal candidate has experience in the wine industry and demonstrates strong attention to detail, organization, and adaptability. They should be able to work independently while effectively managing tasks, deadlines, and priorities with strong time management skills. Primary responsibilities include, but are not limited to the following:
PRIMARY RESPONSIBILITIES:
• General Accounting:
o Reconciliation of balance sheet items with Assistant Controller
o Management of additions to the fixed asset database.
o Update production expenses within the bulk tracking system and create related journal entries.
o Knowledge of yearly budget and corresponding general ledger to accurately assign expenses. Ability to communicate with team members about their budget expenses as needed.
• Tax Support:
o Assistance with filing 1099s for each entity. Miscellaneous support duties for yearly LLC tax filings as needed.
• Inventory Management:
o Monthly inventory reconciliations of all wine by SKU
o Work with the sales team to develop a more efficient procedure for reconciling inventory.
• Payroll:
o Process bi-monthly payroll for Vineyard and Ranch employees, including journal entries and intercompany payroll billbacks, related IRA filings and consulting services invoices.
• Accounts Payable & Receivable:
o Process all AP through specific AP software by obtaining manager approvals, ensuring completion of AP and credit card transaction uploads and following up on rejected AP.
o Responsible for maintaining communication with vendors and AR customers. This role is the point of contact. Includes upkeep of vendor data and W-9 paperwork.
o Generate timely AR invoices for wholesale sales, custom crush services, barrel and bulk wine sales, vineyard lease and expense reimbursement invoices.
o Assist in creating grape harvest invoices as well as digital file management for Vineyard invoices.
o Serve as backup for DTC order upload to accounting software as needed using specific upload software.
• Sales and Excise Tax Filing:
o Complete and file the required sales and winegrower excise tax returns for California.
o Utilize Shipcompliant to ensure reports are filed for all out of state markets on time.
o Complete the beverage manufacturer and distributor tax returns monthly including tax data input in the accounting software.
o Maintain communication with Compliance Consultant and help the Assistant Controller manage any compliance related needs.
• Vineyard Class Allocations and Property Allocations:
o Allocations via journal entries for shared vineyard expenses and locations.
o Journal entries to allocate vineyard employee payroll costs to specific vineyard properties.
• Sales Support/Operational:
o Wine movement tracking in accounting software.
EXPERIENCE & QUALIFICATIONS:
• Business or Accounting Degree (associate or bachelor’s degree) or relevant work experience.
• Accounting experience in the wine industry preferred.
• Exceptional skills with MS Suite (Outlook, Word, Excel).
• Accounting software experience (QuickBooks Desktop). Experience with payroll and compliance software a plus.
• Excellent organizational and time management skills.
• Outstanding communication skills both oral and in writing.
• Ability to use problem solving and advanced judgment skills to make decisions in situations where there are no established procedures.
• Ability to coordinate multiple projects, set priorities, and deliver projects with deadlines.
• Attention to detail and confidentiality.
• Ability to manage change and adapt to quick-changing environment.
• Must be reliable, punctual and able to work a flexible schedule when needed.
• This role requires prolonged standing, walking, and occasional bending or reaching
• Must be able to lift and carry 50 lbs. from time to time.
