Part-time Office Bookkeeper
Duties and Responsibilities:
Monthly reporting and remittance of California sales tax, California Recycling, Transient Occupancy Tax;
Monthly and quarterly reporting of out of state excise tax for wine distribution, and direct to consumer sales;
Generate guest check-in paperwork for the hotel lobby staff;
Order from our beer distributor as needed for weddings and events;
Purchase and monitor office supplies as needed;
Calculate costs v. profits for weddings and special events;
Regularly monitor wine inventory and sales;
Communicate with customers in order to collect on past due invoices;
Take deposits to the bank, and keep adequate change for the cash drawers;
Human Resource duties include:
• Onboarding new hires (paperwork, benefits, direct deposit);
• Payroll for all departments (roughly 50 employees);
• Track sick time, vacation, and probationary periods for all employees;
• Process and follow up with any workers comp claims;
• Respond to EDD notices regarding unemployment claims;
• Track and document disciplinary actions;
• Document and file incident reports as needed;
• Create documents and forms to support regular HR functions such as employee separation, waivers, harassment claims, written warnings, etc.
• Distribute employee handbook to all new hires and obtain signed acknowledgements;
• Enforce labor laws and keep employees informed of such laws and any changes there of;
• Annually obtain and display up to date labor law posters in all departments;
Bookkeeping duties include:
• Invoicing, and inventory tracking for all aspects of the company including: (winery, villa, multiple tasting rooms, weddings/events venue.);
• Accounts payable: enter vendor bills/ write checks weekly as requested by the President/Owner;
• Record payments as they are received;
• Monthly reconciliation of all bank accounts;
• Assist with yearly Worker’s Compensation audits;
• Assist accountant with end of fiscal year tax documents;
• Comply and assist with any EDD audits;
