Long Meadow Ranch has an exciting opportunity in the company for an Order Fulfillment Specialist. This important role will be the hub of the wine sales team to support the company’s national and global sales initiatives by being responsible for ensuring the timely and accurate order processing, delivery, customer service and management of inventory to help the organization achieve its goals. This role also works closely with other departments in the company, including hospitality and restaurant operations. We're looking for a candidate with a strong interest in logistics and supply chain management, along with a willingness to learn and support day-to-day operations. This role will help ensure accurate inventory tracking, timely order fulfillment, and excellent customer service.
Essential Duties and Responsibilities
-Provide a high level of customer service to suppliers, distributors, sales team and other departments within the company
-Responsible for the order fulfillment processes which include processing orders, sending order acknowledgements to distributors, warehouses and internal LMR departments, generating invoices and order tracking
-Coordinate timely delivery of samples following the guidelines for each individual sample order.
-Oversight of inventory across multiple locations, including the company’s sample closet on-site.
-Coordinate pick-up and delivery of of product between the various warehouses, distributors, retail and company locations
-Ensure accuracy of purchase orders including product, vintage, inventory availability, pricing, payment terms and shipping instructions
-Communicate timely and effectively with warehouses, trucking companies, customers and teammates to assure deadlines are met
-Generate reports for the wholesale team, wholesale customers and distributors to provide status on orders, allocations and product availability
-Oversee the approval workflow, and processing of, distributor allowances in tracking and financial systems
-Provide timely communication and resolution for any supply chain issues to key stakeholders and management
-Support export sales fulfillment to ensure necessary documentation and special requirements are completed
-Control and maintain the record keeping of completed orders and related documentation
-Assist in preparing presentations and analyses
-Assist with the logistics required for annual sales events, summits, festivals, and tasting events
-Respond to compliance requests as needed
Education, Experience and Required Skills
-BA or equivalent years of experience in supply chain, logistics or similar relevant field desired
-Knowledge of logistics operations and shipping procedures and documents
-Experience preferred, but not mandatory, in importing, wine-purchasing and logistics
-Experience with Netsuite or other accounting systems
-Experience with wine tracking software is highly valued
-Experience with AMS/RMS, ShipCompliant, Tradeparency and supply chain systems
-Demonstrated ability to communicate metrics and important information clearly and professionally
-Possess excellent organizational, problem-solving and analytical skills
-Exceptional oral and written communication skills
-Ability to work independently with minimal supervision, while also working as a team player
-Must have a valid CA Driver’s license and maintain a clean driving record
-A pre-employment physical and background check are required
Physical Demands and Work Environment
-Ability to lift 50+ pounds
-Must be able to lift cases of wine on a daily basis
-Must be able to kneel, bend, stand, and climb ladders
-Must be able to sit at a desk and work on a computer for prolonged periods
Compensation and Benefits
-This is a full-time, hourly position.
-The Company reasonably expects to pay in the range of $30.00 to $36.00 for this position. Of course, this is depending on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, and business or organizational needs. This wage range may be modified in the future.
