Position Description:

Clif Family Winery & Farm is seeking a detail-oriented and highly organized Accounting, Compliance, and Systems Associate to support our financial operations, regulatory compliance, and internal systems management. This role plays a crucial part in ensuring the integrity of financial records, adherence to industry regulations, and the seamless operation of business systems. The ideal candidate will have a strong background in accounting, compliance, and information systems, along with a passion for continuous improvement and operational efficiency.

Primary Responsibilities:

Systems Management
•  Assist with maintaining winery’s Point-of-Sale (POS), Compliance, eCommerce platforms, and CRM, ensuring accurate setup and ongoing support.
•  Oversee SKU creation and product setup across systems for new releases, promotions, and pricing updates.
•  Identify and resolve system issues, software glitches, and integration challenges by working closely with vendors, IT support teams, and internal stakeholders to maintain smooth operations.
•  Provide training and support for internal teams on platform functionalities, best practices, and troubleshooting techniques.
•  Assist with custom reporting, data analysis, and system optimization to enhance efficiency.
•  Manage and maintain phone system, including user setup, call routing configurations, troubleshooting, and system updates to support effective communication across departments.

Compliance & Reporting
•  Assist in ensuring the winery remains compliant with all local, state, and federal regulations related to alcohol sales, distribution, and reporting.
•  Maintain accurate compliance records for audits and regulatory reviews. Ensure timely filing of required documentation, including licensing renewals.
•  Stay informed on changing regulations, industry best practices, and compliance requirements. Assist in implementing necessary adjustments to internal processes and policies to remain compliant.
•  Oversee the submission of Certificate of Label Approval applications, ensuring all label approvals align with TTB guidelines and market requirements.
•  Support reporting efforts related to production, farming operations, and sustainability initiatives.

Accounting & Order Processing
•  Process and issue customer invoices, monitor incoming payments, and follow up on outstanding balances to ensure timely collections.
•  Maintain accurate records of accounts receivable transactions and assist in resolving any billing discrepancies.
•  Review and process vendor invoices, ensuring accurate coding, approval workflows, and on-time payments.
•  Maintain vendor records, manage the AP inbox, and respond to inquiries to support smooth financial operations.
•  Assist with order entry, invoicing, and fulfillment coordination for wholesale accounts.
•  Regularly reconcile transactions within Point-of-Sale (POS) and eCommerce platforms, identifying and correcting discrepancies to ensure accurate financial reporting and revenue tracking.
•  Assist in financial reconciliations, journal entries, and reporting as part of the month-end close process.
•  Work closely with the accounting team to ensure all revenue, expenses, and adjustments are properly recorded.

Requirements:

Technical Expertise Required
•  Familiarity with POS systems, eCommerce platforms, and accounting software (e.g., QuickBooks, Commerce7, Tock, Shopify, Avalara).
•  Understanding of A/R, A/P, and wholesale order processing.
•  Knowledge of alcohol compliance regulations at the local, state, and federal levels.
•  Strong proficiency in Excel and data analysis tools.

Education/Training Required
•  4+ years of experience in accounting, compliance, or systems management (wine, beverage, or hospitality industry experience preferred).
